Fencing North Committee Meeting

Minutes from previous meeting:

Katie moves that we accept the minutes from the previous meeting, Jess K seconds.

 

Matters arising from previous meeting:

The proposed FeNZ Team Medal policy was discussed.

Bryce moves that Fencing North supports giving medals to 1st, 2nd and 3rd place getters with a fence off for third, but that medals should be given out for top three no matter the number of teams entered, Amanda seconds. All in favour.

 

Treasurer’s Report:

A verbal report was given by Oliver. There are still a few outstanding expenses from the recent Oceania competition. Our end of Financial year was on the 31st of October. Eric moves that we accept the treasurers report, Bryce seconds. All in favour.

 

Competitions:

Jess presented a report of this month’s competitions.

It was discussed about looking for a venue for competitions closer to central Auckland to provide greater accessibility for fencers. There is a new Auckland Council grant that we can apply to for funding to help cover Fencing North venue hire as well as the potential to help with club venue hire.

There is an action on Jess G to contact Epsom Girls and ask for a quote and availability for 2018.

Oceania Recap

The members of the organising subcommittee that were present gave a recap of the event. They felt that the competition was a great success with positive feedback coming from all fencers. We would like to express our thanks to all involved. The helpers, the officials, fencers, NZCT, Albert Eden Local Board, St Johns, Fencing Central and Fencing New Zealand for the support of equipment. We would especially like to thank all the Fencing North members who came and assisted with the set-up, pack up and general running of the competition.

AGM

The 2017 AGM was discussed.

Bryce moves that the AGM will be held on the 29th of November at 7pm at the Parnell Community Centre, Amanda seconds. All in favour.

A motion has been submitted to consider the establishment of a new officer within the executive of the Auckland Provincial Amateur Fencing Council Incorporated. The duties of this officer will be to oversee the smooth and consistent running of all tournaments held by Fencing North. This officer will have full voting rights at committee meetings. This officer will hold the position for a period of 12 months. They will be tasked with identifying individuals to assist with tournaments.

Should this motion be accepted we have two options to be voted upon at the AGM;

  1. The Tournament Organiser Officer will be chosen by calling for nominations and voted on at the AGM or a SGM by affiliated members.

  2. The Tournament Organiser Officer will be chosen by the committee of Fencing North by calling for nominations as they see fit and discussing and voting upon this at a committee meeting to decide who they see is best fit for the role.

Note: if Option 1 is chosen then a SGM to vote upon this officer will be held prior to the next Fencing North committee meeting for 2018.

Treasurer’s Report:
Oliver presented his report via email. Eric moves that we accept the treasurers report, Jess K seconds.
 
Payments:
Jess G moves to buy new weights and gauges to bring us back to a full set. Katie seconds. All in favour to approve up to $400. Permanent naming to be done.
 
Competitions:
Jess presented a report of this month’s competitions and next month’s upcoming competitions.
 
Oceanic Sub Committee Update:
Everything is progressing well. An email will be sent to all North members asking for volunteers to assist with the event.

 

NZ Medals & Trophies:
It was discussed whether medal should be awarded for 2nd & 3rd in team events at National events.
Adrian moves that all place getters in competitions of significance receive medals, Eric seconds. All in favour.
It was discussed whether national trophies should be allowed to go home with the winner or stay with FeNZ after the event.
Adrian moves that trophies should go home with the winner as long as they live within NZ and sign a form stating that they received the trophy and it is their responsibility. Eric seconds. All in favour.

 

Training Camp Proposal:
Adrian moves that Fencing North support this training camp by subsidising entry fees for fencers. Eric seconds, all in favour.
Caveats on this are a maximum of 25 fencers, head coaches of each North club be personally contacted to invite their club members to attend, no more than half of the fencers can be Anya’s personal students, all fencers must be affiliated and a project plan must be submitted to Fencing North outlining where the money has gone. This training camp may be subject to a Fencing North review afterwards.
 
FeNZ News:
FeNZ has put proposed a foreward calendar until 2022. There are a few minor changes that we discussed at the last FeNZ meeting.
Separating U23 and Veteran events from other national competitions was discussed. While this be ideal in terms of event scheduling we understand that the numbers entering this event do not support running them as separate events.
 
Other business:
Health and safety - Gear requirements were discussed regarding regional competitions. From next year it will be made clearer the requirements for competitions and also referees will be told what to look for.

Oceania Fencing Championships 2017

This year Fencing North is hosting the Oceania Senior Championships in conjunction with our NZ Veterans Championship. This event will be held in Auckland on the 21st to 23rd October 2017.

Training camp - Anya has put forward a proposal for support for a training camp she is running in January, a decision was made that we need more information and a formal proposal to make a final decision. 
An action on Jess to email Anya with some questions asking for more information.

 

Treasurer’s Report:
As Oliver was absent there was no report tabled. His report at the next meeting will cover both months.

Competitions:
Jess presented a report of this month’s competitions and next month’s upcoming competitions.
Booking Massey for the upcoming Pickworth has been difficult. Eric moves that we continue to try to contact them until 5pm tomorrow, otherwise postpone to a later date, Bryce seconds.
There hasn’t been much interest for the team foil competition. Jess to email club representatives asking for estimated number of teams from each club.

 

Oceanic Sub Committee Update:
We have received confirmation of the NZCT grant for $5000 and the Albert-Eden grant for $500.

 

 New Caledonia Cadets:
Eric moves that we pay for individual entry fees for affiliated Fencing North fencers at the Oceania Cadet Championships in New Caledonia, Bryce seconds.

 

Other Business:
Jess to contact Anthony Mair regarding an update on the AIMS Games
It was discussed that we look into running a learn to referee course to have a better level of referees and a larger list of names to help referee the Secondary School events.

World fencing day is on the 9th September, encourage clubs to hold events out in the community.

Competitions:

Jess presented a report of this month’s competitions and next month’s upcoming competitions.

Due to a clash with NZSS we are moving our regional competition, Pickworth, from the 9th September to the 16th September.

The Club Foil Team competition was scheduled for the 1st of July, this was postponed due to low entries. We are rescheduling this for the 23rd of September.

 

 Oceanic Sub Committee Update:

The draft schedule was approved by the OFC. The next steps are to release preliminary information.

Oliver moves to apply for funding to cover the cost of the First Aid at Oceanic Senior event in October. Bryce seconds, all in favour.

Consequently, the committee resolves that Fencing North should apply for an Albert Eden Quick Response Grant to cover the cost of the First Aid at the Oceanic Senior event ($1477.75 including GST).

Youth Representative for Fencing North

Alice moves that Fencing North appoints a youth representative for the region. Jess seconds, all in favour.

A call for expressions of interest will be put out with the deadline for applications the 22nd of July.

 

Training Camp 2018:

The next steps for this training camp is to hold a planning session in July where an outline can be formed and rolls assigned. There is an action on Jess to organise this.

 

FeNZ News:

World Fencing Day is happening on the 9th of September. FeNZ suggests that each region celebrate fencing in their region. There was a discussion around what Fencing North should do.

An official’s remuneration paper was passed at the last FeNZ board meeting, suggestion a standardised approach for nation competitions.

It was reported at the FeNZ meeting that there have been two incidents regarding mask safety, it has been decided that Fencing North will produce an accident & incident form to be used at competitions. A checklist for what gear to check at the beginning of a bout will be provided to referees. An information video on how to properly wear fencing gear will be added to competition information on the Fencing North website.

Fencing North Youth Rep 2017

As part of the nationwide initiative to bring together a group of youth fencing leaders to advocate for their peer group, Fencing North is looking for a young fencer who is actively involved the fencing community and would like to volunteer to be our new regional youth representative.
The vast majority of fencers in our region are between the ages of 13 and 25 and we want to make sure that we are doing our best to support this group of fencers.
The role of regional youth representative will involve working with schools and the fencing north committee to identify needs and wants we can do a better job at, as well as ensuring these perspectives are captured in our regional planning.
We want to ensure that this group of fencers is represented and spoken for by a committed and reliable individual who is passionate about fencing and their region. This person must have good relationships with their peers and will need to work closely Alice Boyd, the FENZ Youth Representative.
